About this policy
Vector IT Consulting Pty Ltd ("Vector", "we", "us") is committed to protecting your personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use, disclose and protect personal information, and how you can access or correct it.
What we collect
We may collect your name, job title, organisation, email address, phone number, and the details you include in an enquiry or live chat. When you use our website we may also collect technical information such as your IP address, browser type, pages visited and referring website.
We do not ask for, and you should not send us, patient health information, passwords or payment card details through our website, enquiry forms or live chat.
How we collect it
We collect personal information when you complete an enquiry form, use live chat, email or call us, or become a client. Our website enquiry form sends your details to our customer relationship management system, Zoho CRM. Live chat is provided by Zoho SalesIQ, which may also record your visit information to help us respond.
Why we use it
We use personal information to respond to enquiries, provide and manage our services, send quotes and service updates, improve our website and, if you have agreed, send occasional news and advice. You can opt out of marketing at any time.
Who we share it with
We share personal information only with service providers who help us run our business, such as Zoho (CRM and live chat), Microsoft (email and productivity) and our website host, and only as needed to provide those services. We may also disclose information where required or authorised by law.
Our Zoho account is hosted in Zoho's Australian data centre. Some providers may store or process information outside Australia. Where this happens we take reasonable steps to ensure the information is handled in line with the APPs.
Client systems and data
When we provide IT services to a practice, we may have access to systems containing patient information. We access that information only as needed to deliver the services, under our agreement with the practice, and the practice remains responsible for that information.
Cookies and analytics
Our website uses essential cookies (or similar browser storage) to work properly and to remember your cookie choice. With your consent, we also use cookies for live chat (Zoho SalesIQ) and to understand how the site is used.
When you first visit, a banner lets you accept all cookies or keep essential cookies only. Live chat does not load unless you accept. You can change your choice at any time using the Cookie settings link in the website footer, or by clearing cookies in your browser.
Security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, including multi-factor authentication, access controls and encryption. If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
Access, correction and complaints
You can ask to access or correct the personal information we hold about you by contacting us. If you have a concern about how we have handled your information, please contact us first and we will respond within 30 days. If you are not satisfied, you can contact the OAIC at oaic.gov.au.
